What we collect and why
| Information | Why we use it | Our lawful basis |
|---|---|---|
| Enquiry details: your name, email address, phone number (optional), company name, message, any details you give us about your building, and any floor plans you choose to upload. | To reply to your enquiry, understand what you need and prepare a quotation. | Taking steps at your request before a contract, and our legitimate interests in responding to business enquiries. |
| Security information: the internet (IP) address and time recorded when you send an enquiry. | To stop spam and abuse of the contact form, and to keep a record of when an enquiry was received. | Our legitimate interests in keeping our systems secure. |
| Website server logs: your IP address, the date and time, the page requested and basic browser details. | To keep the website running, fix faults and detect attacks. | Our legitimate interests in running and securing the website. |
We do not use your information for marketing without asking you first, and we do not make decisions about you using automated processing or profiling. If you become a client we will also use your details to provide our services, invoice you and meet our legal obligations, and we will tell you more at that point.
Floor plans are optional and are used only to prepare our response to your enquiry. Please do not upload anything you do not want us to see, and please do not send files containing personal information about other people.
Where we get it from
From you, when you fill in the contact form, and automatically from your browser when you visit the site. We do not buy contact lists.
Who we share it with
Your enquiry is seen by our staff who need it to reply. We do not sell your information. We may share it with:
- companies that host, secure and support our systems and email, who may only use it on our instructions
- our professional advisers, insurers and accountants, where needed
- regulators, the police or other authorities, where the law requires it
Our security tools may also share the IP addresses of malicious traffic with a threat intelligence service so attacks can be blocked.
Where it is stored
Enquiries and uploaded files are stored on our own servers in Spain. The UK treats the European Economic Area as providing adequate protection for personal information, so no extra safeguards are needed for this. Our UK staff access it securely. We do not transfer your information anywhere else.
How long we keep it
- Enquiries and floor plans: for as long as we need to deal with your enquiry and any work that follows. We review enquiries that did not lead to work at least once a year and delete those we no longer need. Floor plans are deleted with the enquiry they belong to.
- Website server logs: up to 30 days.
- If you become a client: for as long as needed to provide the service and to meet our legal, insurance and professional record keeping obligations.
How we protect it
The website uses an encrypted connection. Enquiries go straight into our private system, which only authorised staff can sign in to. Floor plans and enquiry details are visible only to staff who need them, and uploaded files are checked to make sure they are the type they claim to be.

- ask us to restrict how we use it, in some circumstances
- ask for the information you gave us in a portable format, where this applies
You also have the right to object to our use of your information where we rely on our legitimate interests. If you object, we will stop unless we can show a compelling reason to continue.
We do not rely on your consent for the uses above, so there is no consent to withdraw. To use any of these rights, contact us using the details above. We will reply within one month and we do not charge a fee. We may need to confirm who you are first.
You do not have to give us your information, but we cannot reply to an enquiry without at least a name and email address.
